Step 6: Job Closeout

  • Collect all photos for filing or return to client as appropriate. Be sure model releases are filed with all original photography (keep copies in job file).
  • Review ledger card to ensure all charges have been posted (art time, proofreading time, all photo/illustration invoices, other external providers, FedEx charges, all expenses submitted in connection with job). Pursue missing invoices/charges if necessary.
  • Enter the amounts to be invoiced on the ledger card. Use the “click here” option to bill actuals, or manually enter the amounts to be billed if they are different from the actual amounts.
  • Instruct the business office to move the funds and close the IPO.Check in FileMaker Pro within two weeks to be sure the move was done.
  • Hold internal post-mortem/debrief, if appropriate. Review process, make notes on future improvements and other issues.
  • Hold post-mortem/debrief with client if appropriate.
  • Complete closing statement, add “notes to file” if appropriate, and close out job in FileMaker Pro.
  • For html-based sites, archive final site on CD.
