Print Production & Traffic Overview

Two main components make up print production: purchasing and traffic.

The Print Production Specialist is responsible for assisting the Art department and project managers in getting through the steps of producing a job.

Purchasing

The Office of Creative Services has been granted purchasing authority by Rutgers’ purchasing department. With this authority comes certain rights and responsibilities.

Rights

  • Competitively purchase print from outside suppliers for jobs managed, designed, edited and/or produced by our office for jobs under $40,000.
  • Authority to make judgments about which vendors are best for which jobs.
  • Interview and secure new vendors.
  • When screening new vendors, be sure to let them know:
    - All jobs are bid out to a minimum of 3 vendors.
    - Lowest bid wins.
    - Their first Request for Quotation (RFQ) will be for a small job.

Responsibilities

  • Obtain competitive bids for jobs up to $39,999.
  • Work with Purchasing to obtain sealed bids on jobs $40,000 and over.
  • Obtain purchase orders for jobs in advance of work being done.
  • Keep careful records in Filemaker Pro on printing bids and awards.
  • Distribute and file requests for quotations and print orders appropriately.
