Who's Paying?
When you start a job, you need to determine how the costs will be covered. We have different methods and types of charges for different clients. Below are basics, but you should have a discussion with your supervisor at the start of each job to be sure you are handling finances correctly and have asked the right questions.
- External clients: typically, these jobs are paid for by the client. in this case, you will need to generate an estimate and secure an IPO (most clients), journal entry (a few clients, like the Office of the President), or a PO (legacy UMDNJ clients only). - We charge hourly rates for design and proofreading time as well as all out-of-pocket expenses. In some circumstances we may choose to charge a project management fee and time for photography research, but it depends on the project.
- In some cases, we might charge a flat rate instead.
- University Communications and Marketing (UCM) clients: Usually costs associated with the work for internal clients is covered by an internal account. Sometimes an UCM client will want an estimate to know what to budget for it, sometimes not.
- We charge UCM clients for out-of-pocket expenses only. We do not charge for design or photography unless we need to hire a type 4 or outside consultant. You should always try to use our full-time proofreader instead of a type 4 employee when working with internal clients.
- Central Administration clients: Normally we will secure an IPO or journal entry for this work.
- In most cases, we charge for out-of-pocket expenses only. Sometimes, though, we have special arrangements where we donate some of our out-of-pocket expenses in kind.
