Catalog Print Options
If you need a printed version of a catalog, there are two ways to obtain one.
Creating a WORD doc or PDF from catalog generated as HTML (one large page) output.
Word File of Catalog
- Generate catalog (choose catalog group; catalog; format (HTML [one large page]); and entire catalog.
- Click on Generate; in box, click on Start.
- When finished go to Generation Log.
- Click on down arrow of zip file. Open with Archive Utility.
- Double-click on folder with catalog name.
- Right click on index.html.
- Choose file. Open with Word. Say OK if box pops up.
- At Word>File>Save as (choose appropriate title, save on desktop).
- File format chose Word document (docx).
- Save.
PDF of Catalog
DO STEPS 1 THROU 6 ABOVE.
- Right click on index.html.
- Open with Text Edit.
- In Text Edit choose File>Export as PDF.
- Save as catalog name on desktop.
Creating a PDF of an Online Catalog
Use the ADOBE steps for creating a PDF from a webpage (copy the URL from the front page of the online catalog). The project manager (PM) has to indicate how many levels there are (hierarchical levels--add more than you think is appropriate). The PM also has to select "Stay on same path" and "Stay on same server". The resultant PDF is interactive and identical to the online catalog. HOWEVER, when the file is printed out, the pages are arranged by hierarchical level and not sequential, logical order.
How to Work on Catalog Navigator Remotely
For users who wish to access CN from home or from a remote office:
Users need to install a Virtual Private Network (VPN). This will get users past the firewall built around Catalog Navigator to prevent unauthorized changes: Go to Rutgers Cisco VPN Client site: https://oit.rutgers.edu/remote.
Other Tips for Catalog Editors
- Do not change any workflows or access groups while the catalog is still in production. Change them when it’s time to start a new edition.
- Users’ problems are usually caused by the browser they are using to access CN. Be sure to check that they’re NOT using Safari or Internet Explorer Version 6 or earlier. Firefox and IE7 are best.
- The university moved to producing catalogs in an online format only in July 2006 when President McCormick made the decision in light of severe budgetary constraints imposed by the state for fiscal year 2006-2007.
- Always double-check that lists, like the list of subject codes, the list of programs, and the actual program pages coincide. Often, some pages will get updated and other lists, perhaps because they are in more general sections of the catalog, are overlooked. Confirm discrepancies with main contact at school before adjusting these yourself.
- Often, when someone edits a course, the spacing in the course title changes, leaving extra spaces between words in the title or between the title and number of credits. Be sure to correct before approving.
- An important last step, before generating the catalog as an HTML file, is to go to the home page and use the filter function to make sure all pages in your catalog have been approved. Also, go through the catalog page by page to make sure each says “Approved by PM – date - web and print.”
- There have been instances where the system won’t let an editor add changes to a page (one that still reads “Edited by Jane Doe 1/2/00”) without them entering information in the title field in the editor (even though there may already be a title associated with the page outside of the editor). When doing final approvals, just delete the extra title in the editor. It’s a good idea to tell the user to give the title a dummy name, so it’s easier for the PM to delete it later.
- Sometimes you get an error message when adding a new user. Just ignore the message and save the user info. After adding the user to the workflow, go back to the user screen and place a check mark in the appropriate access group.
- Sometimes you get an error message when trying to delete a page or course. Just backspace from the error message and hit the delete (X) icon on the item again to make it work.
- Most webpages cited in catalog sections should be embedded links that open in the same window. When directing students to a website for more information, it may be better to provide the complete URL, so they can cut and paste it into their browser for later use. This URL should still be hyperlinked and open in the same window.
